When hosting a session in Collab Rooms you are likely to be showing some content. To learn more about screen-sharing you can follow this guide, however, if you would like to showcase content through an uploaded video, file or a PPT presentation then this guide is for you.
Accessing the storage option
In a lot of cases, your even organiser will upload all of the relevant files for your session. However, sometimes you may be asked to upload the files yourself. Here's how:
- Enter the room where you are going to present
- Click on the + sign and choose Storage option
You will see a window pop-up like the one above, here you can access files that are already uploaded or you can upload your own. Notice the recommended file size is 100mb.
This window acts like a file browser, you may need to navigate the folders to find the file or if you want to upload something. This depends on how the event host organises their space.
Uploading files
If the file is not already in storage, you can upload it yourself. Keep in mind that it shouldn't be over 100mb in size ideally. You can upload anything from MP4 to PPT files, the system will recognise and process them accordingly, here's how:
Click the green Upload File button
Alternatively, you can just drag and drop the file directly into the window.
You will see your file will start processing and you will get a notification once it's finished.
⚠️ Please wait for the file to finish processing. Sometimes if a file is too big it may have to wait in the queue to be converted, please don't try to upload the file again as this may cause errors or further delays. We always advise to upload any files 24 hours before your session.
Presenting files from storage
Once you have found or uploaded your file you can share the file in your presentation tab, here's how:
- Click on the + sign in the room and choose Storage
- Select the file and click Present
- Your file will open up in a tab in your room and you will be able to interact with it, i.e. if it's a PPT presentation you will have the options to move between slides.
You can also Share file as download, this will give your viewers the option to download the file instead.
